Eco Summit 2025 — Head of Registrations

Led registration operations for the Eco Summit – DPSBS Climate Conference 2025, coordinating large-scale delegate onboarding, live registration systems, and institutional communication across multiple schools and partner organizations.

Served as Head of Registrations for the Eco Summit – DPSBS Climate Conference 2025, organised by Delhi Public School Bangalore South in collaboration with WildRoots–India, inspired by IUCN CEC and #NatureForAll.

What looked like registrations on the surface was actually a live operational system handling schools, delegates, workflows, verification, and real-time coordination under pressure.

Context

The summit brought together student delegates from multiple schools for climate-focused competitions, workshops, collaborative sessions, and sustainability initiatives. Registrations became one of the central operational systems connecting delegates, schools, schedules, and event coordination.

Role & Responsibilities

I led the registration workflow from the initial outreach phase to live on-ground execution during the summit. The role involved managing large-scale participant data, coordinating with schools, and ensuring smooth delegate onboarding across multiple event categories.

Systems & Workflow Design

A major part of the role involved building systems that could handle constantly changing registration data at scale. I designed a highly branched Google Forms workflow for internal student registrations, along with a live spreadsheet infrastructure that tracked delegates, categories, schedules, and verification status in real time.

The registration architecture required piecing together multiple interconnected forms, sub-sections, and response flows into a single operational structure that could remain accurate even under continuous updates.

The challenge was not collecting registrations — it was designing a system that could stay organized while hundreds of moving parts changed live.

Operational Pressure

The largest pressure point came during the final 24 hours before the summit. Registration data was still actively changing, requiring continuous updates to spreadsheets, delegate lists, category allocations, and printed verification sheets for different competitions and sessions.

I worked through the entire night before the summit preparing and organizing registration lists, ensuring every committee and registration point had the correct printed records ready for live verification on opening day.

The opening morning involved managing large delegate inflows, coordinating check-ins, resolving registration conflicts, and maintaining movement flow across a crowded and fast-moving registration environment.

Coordination & Leadership

The registrations team officially consisted of four core members, but the role required constant coordination across organizing teams, event volunteers, teachers, delegates, and partner representatives.

I worked closely with the organising committee to maintain synchronization between registrations, scheduling, workshops, and competition logistics — ensuring operational continuity across the summit.

The role also involved serving as a registration coordination point alongside WildRoots–India representatives and supporting communication between schools and the summit structure.

Reflection

This experience strengthened my understanding of operational systems under pressure. Registrations were not just data entries — they directly influenced scheduling, coordination, movement flow, and delegate experience across the summit.

It also reinforced the importance of designing systems that remain functional under constant updates, uncertainty, and scale.

Good operations are invisible when they work — but they are built on structure, foresight, and constant coordination behind the scenes.
